Literary Exhibitors Resources

The Baltimore Office of Promotion & The Arts (BOPA) is uniting two of its marquee events: Baltimore Book Festival and Light City. Brilliant Baltimore will illuminate the city with literature, ideas, world-class light art installations, and live performances.

1-DAY EXHIBITORS LOAD-IN PROCEDURES


  • Load-in will happen each day from 7 AM-11 AM.  Vehicles will not be allowed on-site after 11 AM.
  • Drive to your designated Loading Zone (SEE MAP) and check in with your Loading Zone Manager, who will give you a vehicle access pass. When displayed in your window, your vehicle access pass allows you to temporarily leave your vehicle in the unloading zone while you unload your items into your tent. Be sure to display pass in your window at all times while you are unloading so that you are not ticketed/towed. There is a 20-minute limit for the loading/unloading zone.
  • Vehicles are not permitted on the bricks of the Inner Harbor Promenade; to that end, you can’t park next to your tent to unload.
  • Exhibitors should bring hand carts, staff/friends, etc. to assist with the load-in process. Please arrive early, allow more time than you think you need, and be patient.  
  • Festival production assistants with flatbed cargo carts may be available to help your team deliver items to your tent. Flatbed cargo carts are available on a first-come, first-served basis. The festivals production assistants make every attempt to assist exhibitors with cargo carts, but we cannot guarantee one will be immediately available when you arrive to load-in. Please consider being available for load-in on Thursday if you need cargo cart assistance.
  • Once you are loaded in, you must return to your vehicle and then park your car at an off-site location.  This must be done as soon as your car is unloaded, and should be done with enough time to return to your booth and allow for set up. 
  • All tents must be open and ready for business each day by 12 PM.

3-DAY EXHIBITORS LOAD IN PROCEDURES


  • The easiest and best time to load-in is Thursday, October 31st. We will be open for check-in and available with golf carts from 8 AM - 12 PM and 2 PM - 6 PM.
  • If you can’t load in on Thursday, we will also be open for load in on Friday, November 1st from 7-11 AM.  Vehicles will not be allowed on-site after 11 AM.

ON-SITE INFORMATION

  • Be alert and use common sense.
  • Please secure your cash at all times. It is best to keep cash on your person. The festival does not recommend the use of cash boxes.
  • Plan on covering your merchandise each night with tarps, placing items on top of tables, and taking other general precautions for weather and security.
  • The Festival (Baltimore Book Festival/Light City) and the Baltimore Office of Promotion & The Arts are not responsible for lost, damaged or stolen items.
  • Exhibitors are permitted to keep their merchandise in their space overnight at their own risk and discretion.  Anything valuable or irreplaceable should be taken with you each night. Reminder, exhibitors are required to close their own tent walls each night.  
  • Please keep in mind that our overnight security is roaming.  If you want to hire a dedicated security guard to remain stationary at your display, please contact festival organizers to get in touch with our official security provider, SAFE Management.
  • Our attendees are drawn to those tents that have the most books! They love to browse and explore while they shop.
  • Colorful, bright displays with engaged, attentive employees tend to generate the most business.
  • In addition to on-site sales, think about how you can maximize your experience by marketing your brand to help generate future and repeat business.
  • Arrive prepared and as a self-contained unit.

The Baltimore Book Festival, a celebration of the literary arts, features author appearances and book signings, exhibitors and bookseller tents, readings on multiple stages, children’s activities, and cooking demonstrations. Light City, a festival of light, music, discussions and innovation, will feature a Light Art Walk at its center with awe-inspiring light art installations, performances, concerts, a fun-filled family zone, and Neighborhood Lights.
